Our Social Responsibilities

1. Introduction

Office Solutions IT is a leading IT Services provider based in Australia supporting clients worldwide.

This Corporate Social Responsibility (“CSR”) Policy was adopted by the Directors of Office Solutions IT and we are committed to implementing it on an ongoing basis.

This policy is a summary of more detailed policies that cover different aspects of our responsibilities.

2. Ethics and Business Conduct

All Office Solutions IT team members are expected to conduct business in an ethical way. The principles which govern our behaviour and business dealings are:

  • All business should be conducted in accordance with the laws and regulations of the countries in which the business is located.
  • We take Security of Information seriously. There are extensive systems and layers of security in place to keep both our, and our clients information secure.
  • We respect and contractually protect our client’s Intellectual Property.
  • Team Members are prohibited from share trading with any information they discover in the course of their duties.
  • We will always make police reports and assist in police investigations whenever we become aware of illegal material on information systems (for example child abuse material).
  • We do not engage in or tolerate association with any criminal organisations or illegal activity.
  • Corrupt practices are unacceptable. No bribes, kickbacks, or similar payments will be made to, or accepted from, any party.
  • Team Members who report a problem when they are suspicions of wrongdoing anywhere in the organisation will be taken seriously and their suspicions will be investigated. They may raise their concerns with their manager or with the Human Resources team.

3. Team Members

We believe our Team Members are our strongest asset and that they should always be treated fairly and with respect. Our employment policies commit us to:

  • Providing a safe working environment through best practice in health and safety management.
  • Providing access to an Employee Assistance Program (EAP), so that team members can receive psychological services at no cost to them.
  • Being an equal opportunities employer, committed to developing a diverse workforce where everyone is treated equally irrespective of race, sex, colour, nationality or national origin, class, religion, age, disability, marital status, HIV status, union membership, sexual orientation or gender identification, political opinion, or any other status protected by applicable law.

  • Providing and supporting a workplace free from bullying, harassment, victimisation, and abuse, whether physical, sexual, verbal, or psychological.
  • Ensuring that team members can discuss any problem connected with their work confident that they will receive a fair, impartial and confidential review of the issue.
  • We ensure that overtime performed by our Team Members is voluntary, not excessive, and is compensated as prescribed by local laws and regulations.

4. Suppliers

Strong and dynamic suppliers are essential to our long-term success. We rely on their expertise and skill to meet our clients’ changing needs, and we only work with suppliers that comply with all applicable laws.

Being a responsible member of the business community, we are committed to paying our suppliers inside of agreed payment terms.

We support and uphold the principles contained in the Universal Declaration on Human Rights, the International Labour Organization’s Declaration on Fundamental Principles and Rights at Work, and the United Nations Guiding Principles on Business and Human Rights. In particular we will not tolerate child labour or any form of forced labour, including prison labour, indentured labour, bonded labour, military labour, slave labour, any form of human trafficking, in our own operations or those of our suppliers.

5. Community

We aim to make a positive contribution to the communities in which we operate in and to be a responsible neighbour.

  • We budget a percentage of our revenue to donated to charity each year.
  • Key sponsorships are our support of the Youth Focus Ride for Youth and sponsorship of the Youth Futures Pipeline challenge.
  • We support our team members in their personal charitable causes, often through donations of money, equipment, or time.

6. Environment

We value the environment and are firmly committed to sound environmental practice in our operations. We comply with relevant environmental laws and regulations and to adopt the following principles:

  • Committed to becoming Net Zero certified.
  • Continuous improvement in the efficiency of our energy usage.
  • To minimise our emissions and waste.
  • To minimise Air Travel and use virtual meetings wherever suitable.
  • To recycle where possible, this includes our office waste, as well as obsolete IT equipment.
  • To seek out suppliers who have a proactive approach to environmental risk management and who manage natural resources responsibly.

7. Safety

The safety of our team members always comes first. Our objective is to identify risks and implement controls to reduce those risks. This is managed by a reporting system and process for safety risks.

We comply with applicable workplace and product health and safety laws and respect workers’ rights to refuse to perform work that is unsafe.

We:

  • Work with our clients to understand any health and safety risks they might expose our team members too and adhere to controls that our clients have in place.
  • Comply with our clients’ induction and health and safety policies, standards, and procedures.
  • Provide a safe and hygienic environment for Team Members and third parties, by identifying and managing risks, providing appropriate equipment and resources, and ensuring access to appropriate and clean facilities and amenities.
  • Provide workers with appropriate training to perform their duties safely and to comply with this Policy.

8. Responsibility for Success

The Directors of Office Solutions IT have overall responsibility for this CSR Policy. The Business Services Manager has the day-to-day operational responsibility for this policy and ensures that all team members receive regular and appropriate training. All Team Members are responsible for the success of this policy.

The Business Service Manager, in conjunction with the Directors, will review this policy at least once a year. Team Members are invited to comment on this policy and suggest ways in which it might be improved at any time through a Business Services ticket.

A robust reporting platform is used by Office Solutions IT for Team Members to report suspected violations of this code and any potential safety issues. All issues logged are followed up and managed appropriately.
